Ordering & Process

How do I place an order?

Orders typically begin with a quote or estimate based on your selected products and decoration details.  Once approved, an invoice is issued for payment.  After payment is received, your order moves into production where proofs are created for your review and approval before decoration begins.

What is the typical ordering process?

Can I change my order after it has been approved?

Changes may be possible depending on the stage of production.  Once proofs are approved and production has begun, changes are typically limited or may incur additional costs.


Pricing & Payments

Do prices include decoration?

Pricing may vary depending on product and decoration method.  Some pricing includes decoration, while others reflect blank product costs with decoration added separately. Your estimate will clearly outline all costs associated with your order.

Can pricing change after I receive a quote?

Pricing is based on current supplier costs and availability.  If changes occur, we will notify you before moving forward.

Why do I need to pay before my order is processed?

As a small family-owned business, we purchase products and materials specifically for each order.  Payment in full allows us to secure inventory, schedule production, and keep your project moving forward without delays, helping ensure on-time delivery and the high level of service our customers expect.

Do you offer discounts for large orders?

Yes, pricing is typically volume-based.  Larger quantities often qualify for better per-unit pricing.


Artwork & Branding

What file types do you accept for artwork?

We prefer vector files such as AI, EPS, SVG, or print-ready PDF files. High-resolution PNG files may also be acceptable depending on the decoration method.

Why do you need “vector” artwork?

Vector artwork is required because it can be resized to any size without losing quality, ensuring your logo or design prints crisp and clean on apparel, promotional products, signs, and other branded items.  Unlike JPGs or PNGs, vector files (such as AI, EPS, or PDF) provide the precise artwork needed for accurate color matching, screen printing, embroidery digitizing, and high-quality decoration.

What is the difference between PMS, CMYK, RGB and HEX colors?

These are different color systems used for different applications. PMS (Pantone Matching System) provides standardized spot colors for the most accurate color matching in printing and branded merchandise.  CMYK (Cyan, Magenta, Yellow, Black) is used for full-color printing.  RGB (Red, Green, Blue) is used for digital displays such as websites, phones, and monitors.  HEX codes are six-digit color values used in web design to define specific RGB colors.  Providing your PMS colors helps ensure the most consistent reproduction of your brand colors across products.

Can you recreate or design my logo?

Yes, we can assist with logo recreation or design services if needed.  Additional design fees will apply based on complexity.

Will my brand guidelines be followed?

Yes.  We follow brand guidelines carefully to ensure consistency across all products. If any adjustments are required due to production limitations, we will review them with you for approval before proceeding.


Proofing & Approval

Why is my logo pink or has pink in it?

We use pink to show white areas in a logo, so anything you see as pink will be produced as white, since white areas in a logo do not show up on a white background. Unless of course your logo actually has pink in it.

Why am I getting so many proofs?

We provide multiple proofs to ensure complete clarity and confidence before your order goes into production.

Typically, you will receive a design proof first, which confirms the layout, artwork placement, and overall appearance of your item.  Once that is approved, we then provide a production/sew out proof to confirm final production details specific to the item being decorated.

This two-step proofing process helps eliminate surprises, ensures accuracy across all products, and allows you to see exactly how your finished order will look before it is produced.

For repeat orders we will only send production/sew out proofs for your review.

What is the difference between design and production proofs?

The design proof shows your artwork layout, colors, and sizing.  The production or sew-out proof confirms final placement and real-world output, including embroidered samples when applicable.

What is a sew-out proof?

A sew-out proof is a physical sample of your embroidered design stitched onto fabric so you can see thread color, stitch quality, and overall appearance before full production begins.


Production & Turnaround

When will I receive my order?

Your estimated completion date will be listed on your invoice.  This is the date your order will be ready for pickup at NGA Promotions or shipped to you, depending on your selected method.  We always strive to complete orders ahead of schedule when possible.

What can delay my order?

Delays may occur due to late payments, delayed proof approvals, product availability, supplier shipping timelines or carrier delays by UPS® and FedEx®.

Do you offer rush orders?

Rush production may be available depending on product type, decoration method, and current production schedule. If you need your order by a certain date for an event please let us know as soon as possible so we can make the necessary arrangements.


Minimums & Setup Fees

Do you have minimum order quantities?

Yes, minimum order quantities vary depending on the product and decoration method. Please contact us to discuss your specific needs, and we’ll be happy to recommend the best options for your project.

 What is a digitizing setup fee?

The digitizing setup charge covers the process of converting your logo or artwork into a specialized embroidery file that an embroidery machine can read and reproduce with thread.

Digitizing is both a technical skill and an art form.  The file must be carefully programmed to determine stitch types, stitch direction, stitch density, compensation, and sequencing to ensure the best possible embroidered result.

Unlike many decorators who simply use the initial digitized file, we take additional steps to ensure quality.  We perform test sew-outs, evaluate the results, and make adjustments to the file as needed.  This may include modifying stitch density, underlay, pull compensation, or stitch paths to improve the appearance and durability of the finished embroidery.

Once we are satisfied with the sew-out quality, we provide a sew-out proof for your approval before moving into production.  This process helps ensure your logo looks professional, consistent, and representative of your brand on the finished product.

In most cases, the digitizing fee is a one-time charge, and the file can be reused for future orders using the same artwork.

Why is there a cap digitizing fee?

Caps require a unique embroidery file that is different from the file used for flat items such as polos, jackets, or bags.  Because of the curved structure of a cap, the embroidery design must be digitized using a specialized stitch sequence that starts in the center of the design and sews outward as the machine rotates the cap during production.

This specialized digitizing process helps ensure proper registration, stitch quality, and a professional finished appearance.  Since a separate embroidery file must be created specifically for cap embroidery, an additional digitizing setup fee is required.

Once your cap file has been digitized, it can typically be reused for future orders of the same design, eliminating the need for additional setup charges


Shipping & Pickup

Why is there a shipping charge if I am picking up my order?

Even when you choose local pickup, some products incur inbound shipping costs before they arrive at our facility.

For apparel orders, a shipping charge may apply to cover the cost of having blank garments shipped from our wholesale suppliers to NGA Promotions for decoration here in house.  Because we offer a wide variety of brands, styles, colors, and sizes, we do not maintain inventory in-house.  Instead, we order products specifically for your project from our trusted apparel partners.

For promotional products, shipping charges may also apply to cover the cost of transporting items from the manufacturer to NGA Promotions.  These charges reflect the cost of getting your products to our facility and are separate from any delivery charges for shipping items to you.

Do you ship orders?

Yes, we ship nationwide as well as offer local pickup options.

What are you pick up hours?

Standard pick-up hours are Monday-Friday from 8:00AM - 4:30PM.

 


Products & Services

Do you stock products in-house?

We do not stock most items in-house.  Instead, we source products daily from wholesale warehouse partners to offer a wide selection of brands, styles, and colors.

Can I provide my own garments or products?

In some cases, customer-supplied items may be accepted depending on the decoration method.  Approval is required prior to production.

Can you help me choose the right products for my event or budget?

Yes.  We regularly assist clients in selecting the best products based on their goals, audience, budget, and timeline.  Whether you need cost-effective giveaways or premium branded apparel, we can recommend options that balance quality, impact, and price.
